A missed-call follow-up plan for service businesses

A straightforward callback routine for owners who cannot answer while driving, cleaning, building, or working outside.

Set a response window

Decide when you check missed calls and make that timing part of your voicemail greeting. A specific promise such as “we return calls after 4 p.m.” is easier to keep than “we will call soon.”

Collect enough information

Ask callers to leave their name, service address, type of work, and best callback number. Let them text photos when that would help you qualify the job. A useful voicemail can save a full round of phone tag.

Close the loop

After you call back, record the outcome: booked, estimate needed, waiting on photos, not a fit, or no answer. Add the next attempt to your task list instead of leaving the missed call badge as the only reminder.
