An estimate call checklist for contractors

What to ask before scheduling a site visit so you can qualify the job and prepare a useful estimate.

Identify the job

Ask what the customer wants changed, where the work will happen, and what problem they are trying to solve. Request photos when they would help. Note the property address and whether the owner, tenant, property manager, or general contractor is calling.

Ask about schedule and decisions

Find out when the customer wants work to begin, whether there is a fixed completion date, and who approves the estimate. Ask whether plans, permits, insurance requirements, or other trades are involved. These answers can change the order and cost of the work.

Set expectations for the estimate

Explain whether the next step is a phone quote, paid consultation, or on-site visit. Confirm what you need before that step and when the customer should expect a response. A clear handoff prevents repeated calls asking what happens next.
