The details to capture when a landscaping lead calls, from property access to timing and service expectations.

Start with the property

Get the service address, property type, and the area the customer wants handled. Ask whether there are locked gates, pets, irrigation lines, steep grades, or parking limits that could affect a visit. These details help you decide whether the job fits before you spend time driving out.

Define the work

Clarify whether the customer needs recurring maintenance, a cleanup, planting, mulch, trimming, drainage work, or a one-time project. Ask what result they expect and whether they have a target date. If they mention measurements or material preferences, repeat them back.

End with one next step

Before hanging up, agree on what happens next: a site visit, a photo by text, a written estimate, or a scheduling call. Put that action and its due date at the top of your call summary so the lead does not sit untouched.
